It is week 4 of The Data School and we are learning how to use PowerBI. When creating visualisations in a page (known as a dashboard in Tableau), we might want to preset/save a view for the user to switch to easily. We do this by using bookmarks!
A bookmark can store:
- The current page
- Filters
- Slicers, including slicer type and slicer state
- Visual selection state
- Sort order
- Drill location
- Visibility of an object (whether it is hidden or not)
- The focus or Spotlight mode of any visible object
How do I save a bookmark?
To save a bookmark go to the 'view' tab in the toolbar and select 'bookmarks'. If you want to change the charts in view for the bookmark then also select 'selection'. This will bring two panels into the view. The selection panel allows you to show and hide different graphs.
To create a bookmark, arrange the page how you want to save the view (i.e., specific sort order, particular category highlighted, particular filter applied etc.) and then click the 'add bookmark' icon. This then saves the view. It is best to rename the bookmark so you know what it is showing!
How do I use the bookmark?
To activate the bookmark you can use a button or an image on the page. You can do this by going to the 'insert' tab and inserting a button or shape and (if not already on), toggle on 'action' in the format button/shape pane on the right. Within action, change the type to bookmark and select the bookmark you want it to trigger.
You can also group your bookmarks by selecting all the bookmarks together, right clicking, and selecting 'group'. This becomes useful for the the next way you can activate the bookmarks...
You can also add a 'bookmark navigator' which shows a list of buttons for all the bookmarks you have created. You can do this by going to buttons > navigator > bookmark navigator. This will show all of your bookmarks. If you have grouped your bookmarks, you can select which group of bookmarks to show in the format navigator pane on the right, inside bookmarks.
